Deactivating and reactivating users

Important

Only users with the Instance admin permission can access this feature.

Instance administrators can use this feature to easily deactivate users who should not have access to the application. For instance, when an individual departs from the organization, their account can be deactivated, thus making the license available for other users. You have the option to deactivate and reactivate individual users, or you can utilize the bulk management feature to manage multiple users simultaneously.

This feature allows you to:

  1. Prohibit users from logging in or utilizing any of the data.world APIs on a global level.

  2. Keep all the content of the deactivated user intact in the application.

  3. Reactivate a user account, a useful feature in scenarios when the user access has to be revoked temporarily.

  4. Visibly tags users as deactivated within the application and metrics, ensuring precise calculation of the active seat count.

Deactivating a single user account

To deactivate a single user:

  1. Click your Profile icon on the right side of the top navigation. From the menu, select Admin portal.

  2. On the Admin portal, from the top navigation, navigate to the Users page.

  3. On the Users page, in the Search bar, provide the name of the user (for example, john) , username (for example, @johndoe) or email address (for example, john-doe@gmail.com) to locate the user.

  4. Click the Deactivate user button.

  5. In the Deactivate user window, click the Deactivate button.

  6. If you need to reactivate the user, select the deactivated user and click the Reactivate user button.

Deactivating multiple user accounts

To deactivate multiple users:

  1. Click your Profile icon on the right side of the top navigation. From the menu, select Admin portal.

  2. On the Admin portal, from the top navigation, navigate to the Users page.

  3. On the Users page, in the Search bar, provide the name of the user (for example, john) , username (for example, @johndoe) or email address (for example, john-doe@gmail.com) to locate the users.

  4. From the Users list, select the users and click the Bulk manage users button. The Bulk manage users window opens.

  5. If you have a large number of users to deactivate, click the Import list of users to select link in the Bulk manage users window. Provide a list of emails or usernames separated by commas or lines to import the users. Click the Import button. You cannot add users by providing their names (for example, john Doe).

  6. Click the Deactivate users button. Confirm the action by clicking the Deactivate button on the confirmation window.

  7. You can follow the same process to reactive users in bulk.
