Creating password authenticated users in private Instances

Important

Only users with the Instance admin permission can access this feature.

By default, users in private instances can only log in to data.world using Single Sign-On (SSO). This feature provides an alternative login method, allowing users to access data.world with a username and password even when SSO is enabled for the application instance.

This feature can be enabled upon special request to the data.world Support team. It is intended for temporary and specialized scenarios, not for regular use. If you believe this feature is necessary for your organization, please contact data.world Support for assistance.

Warning

This functionality is designed for short-term use only. Extended use in production environments outside of special cases is not recommended. Ensure that this feature is used sparingly and that regular SSO login methods are preferred.

This feature is ideal for:

  1. Temporary Access Requirements: When there is a temporary need for users to log in using a username and password due to specific circumstances or issues with the SSO setup.

  2. Special Testing Scenarios: For testing purposes where SSO might complicate or inhibit certain test cases.

  3. Non-SSO User Access: In case you need to provide access to users who cannot use the SSO for some reason.

Creating password authenticated users

To create a password authenticated user:

  1. Click your Profile icon on the right side of the top navigation. From the menu, select Admin portal.

  2. On the Admin portal, from the top navigation, navigate to the Users page.

  3. Click the Add user button.

  4. In the Add a password authenticated user window, set the following and click Create user.

    1. Email: Provide the email address of the user.

    2. Display name: Set a display name for the user.

    3. Username: Provide the username that users will use to login to the application.

    4. Temporary password: Click the Generate button to create a temporary password for the user.

  5. On the next screen, copy the credential details and share them with the user. Note that the user password will not be visible after you close this window. Users can always reset their password using the Forgot password link on the login page of the application or change it in the Settings.

  6. Once the user account is created, add them to the appropriate organization so that they can interact with the catalog.

Enabling password access for existing SSO users

The system allows you to enable password access for existing users that have single sign-on access to the application.

To enable password access for an existing SSO user:

  1. Click your Profile icon on the right side of the top navigation. From the menu, select Admin portal.

  2. On the Admin portal, from the top navigation, navigate to the Users page.

  3. On the Users page, in the Search bar, provide the name of the user (for example, john) , username (for example, @johndoe) or email address (for example, john-doe@gmail.com) to locate the user.

  4. From the Users list, select the user and click the Enable password access button.

  5. In the Enable password access window, set the following and click Enable password access.

    • Temporary password: Click the Generate button to create a temporary password for the user.

    Note: If a password was previously generated for the user, simply confirm you want to reactivate it.

  6. On the next screen, copy the credential details and share them with the user. Note that the user password will not be visible after you close this window. Users can always reset their password using the Forgot password link on the login page of the application or change it in the Settings.

  7. Once the user account is created, add them to the appropriate organization so that they can interact with the catalog.

  8. If you need to revoke password access from the user, select the user and click the Disable password access.

Logging in with username and password

To login using username and password:

  1. On the login page, click the Login with a password instead link.

  2. On the login screen, provide a username and password. and click the Sign in button.

  3. If this is your first time logging in the application, we highly recommend that you change your password before you start using the system.

Revoking password access for users

Note

Username and password accounts in SSO-enabled systems are supposed to be used for short-term. As a best practice, we recommend that you either convert the username password accounts to SSO users, revoke password access, or deactivate them after your need for such accounts is over.

To revoke password access for users:

  1. From the Users list, select the user and click Disable password access.

  2. In the Disable password access window, click the Disable password access button to confirm.

  3. You can also deactivate user account completely. For details, follow the instructions in Deactivating and reactivating users.
